TaskAnna is a service owned and operated by EuroAFF s.a.r.l. ("TaskAnna," "we," "our," or "us").  We value your privacy and are committed to protecting your personal data.  This Privacy Policy explains what information we collect, why we collect it, how we use it, and the choices you have.

1.  Who are we

TaskAnna acts as the data controller for the personal data collected through our mobile apps, web dashboard, browser extensions, and APIs, and any related services (collectively, the “Service”).

2.  Scope

This Policy applies to anyone who installs, registers for, accesses, or uses the Service.  By doing so, you agree to the practices described below.  If you do not agree, please do not use the Service.

4.  How & why we use your information

We process personal data under the following legal bases (GDPR Articles 6 (1)(a)-(f)):

Performance of a contract – to provide and maintain the Service you requested.

Consent – for optional features such as marketing emails or storing voice recordings.

Legitimate interests – to improve the Service, prevent abuse, and send product updates.

Legal obligation – to comply with tax, accounting, and regulatory requirements.

5.  Sharing & disclosure

We never sell personal data.  We share it only with:

  • Service providers (e.g., cloud hosting, speech‑to‑text engines, email delivery, payment processors) who process data strictly on our instructions and under confidentiality agreements.
  • Integrations you enable (e.g., Google Calendar, Microsoft Outlook).  Data shared depends on the permissions you grant.
  • Professional advisers (lawyers, accountants) and public authorities were legally required to protect our rights.
  • Business transfers in connection with a merger, acquisition, or sale of assets (you will be notified before personal data is transferred and becomes subject to a different privacy policy).

6.  International transfers

TaskAnna operates globally.  Where we transfer personal data outside the European Economic Area, we rely on EU Commission adequacy decisions or Standard Contractual Clauses and implement additional safeguards as needed.

7.  Data retention

Account data is retained for as long as you maintain an account, plus 30 days, after which we securely delete or anonymise it.

Voice recordings are retained only until transcription and quality checks are complete (typically <30 minutes), unless you opt to save them.

Calendar and note data follow your deletion actions; deleted items are purged from backups within 30 days.

Legal/financial records are kept for up to 10 years as required by Luxembourg law.

8.  Security measures

We use encryption in transit (TLS 1.2+) and at rest (AES‑256), role‑based access controls, periodic security audits, and industry best practices to protect personal data.  No system is 100 % secure, so we encourage you to use a strong, unique password and enable multi‑factor authentication when available.

9.  Your rights (GDPR)

You have the right to:

Access a copy of your personal data.

Rectify inaccurate or incomplete data.

Erase data (“right to be forgotten”).

Restrict or object to processing.

Port data to another service.

Withdraw consent at any time (without affecting prior lawful processing).

To exercise these rights, contact us at support@taskanna.app.  We will respond within 30 days.  You also have the right to complain to the Commission nationale pour la protection des données (CNPD) in Luxembourg or your local supervisory authority.

10.  Children’s privacy

TaskAnna is not directed to children under 16.  We do not knowingly collect personal data from children.  If you believe a child has provided us with personal data, please contact us so we can delete it.

11.  Cookies & analytics

We use first‑party cookies for session management and third‑party analytics (e.g., Plausible or Google Analytics) to understand product usage.  You can adjust your browser settings to block cookies, but some features may not work correctly.

12.  Marketing communications

If you opt in, we may send product updates and offers.  You can unsubscribe at any time via the link in the email or your account settings.

13.  Changes to this policy

We may update this Privacy Policy to reflect changes in laws or our practices.  If changes are material, we will notify you via email or an in‑app message.  Continued use of the Service after such changes constitutes acceptance.
